Event QR codes should reduce calendar friction. They are best for workshops, open houses, office hours, classes and short-run schedules where the title, location and time need to land cleanly on a phone.

Event codes are most useful when they reduce questions at the door.

  • Check the date, time and venue on a phone calendar.
  • Use a public page for schedules that may change.
  • Print a short fallback URL for guests who cannot scan.

After the event, replace the code if the page moves to photos or notes.

  2. Keep the title short enough to look clean in calendar apps.

Will scanning add the event automatically?

Usually the phone shows a calendar preview first. The person scanning still chooses whether to save it.

Should I include the time zone?

Yes when guests may be traveling, remote or in different regions. Put the time zone in the visible event copy too.

Can I change the event after printing?

Not in the static QR code. If event details may change, link to an event page you can update instead.

Will the event open in Google Calendar or Apple Calendar?

The phone decides which calendar app handles the event. iPhone often shows an Apple Calendar-style preview, while Android may offer Google Calendar or another installed calendar app.

Does the event QR code work offline?

Yes. The event data is stored directly inside the QR code, so scanning does not need an internet connection. The phone reads the data and offers to save it to the local calendar.

Can I include a Zoom or Teams link in the event?

Yes. Put the meeting link in the notes or description field. When the person saves the event, the link will be inside the calendar entry and easy to open at the right time.

What happens if the event time changes after printing?

The printed QR code will still contain the original time. If you think the schedule might change, link to an event page you can update instead of encoding the time directly.
